Three Signs Your ERP Team Is Stretched

When we talk with companies using Oracle or SAP, one common challenge we see is that their ERP team simply has too many things to manage.

ERP teams today are not only supporting users. They are handling day-to-day issues, security patches, integrations, reports, database activities, upgrades, and at the same time, management expects them to work on new projects and improvements.

When something starts getting delayed, we sometimes think it is an ERP system problem. But that may not always be the case. Sometimes the system is fine—the team simply doesn’t have enough capacity.

Here are three signs that your ERP team may be getting stretched

1. Missed Patches – Security Updates Postponed

This is probably one of the easiest signs to notice.

Your team knows that a security patch or system update needs to be completed, but there is always something more urgent happening. A production issue comes up, users need support, month-end activities are going on, or there is another priority from the business.

So the patch gets moved to next week… or next month… or…

Postponing something once may not be a big concern. But if this happens regularly, it can become a risk. Over time, pending patches and upgrades can create security concerns and increase the technical backlog.

The question to ask is not only, “Why hasn’t this patch been completed?”

We should also ask, “Does our team actually have the time and resources to do it?”

2. Slow Issue Resolution – What Took Hours, Now Takes Days

Another sign is when normal ERP support requests start taking longer.

Maybe a user issue that was normally resolved within a few hours is now taking one or two days. Smaller tickets stay open because the team is working on higher-priority problems.

From the business user’s point of view, it may look like ERP support is becoming slow. But when we look deeper, the issue may simply be that the same team is supporting more users, more applications, more integrations, and more business requirements than before.

If the workload has increased but the team’s capacity has not, something will eventually get delayed.

3. Delayed Projects Stall Strategic Growth

I think this is one of the most important signs.

Most organizations have something they want to improve in their ERP environment. It could be an Oracle or SAP upgrade, cloud migration, new integration, automation, reporting improvement, or another modernization project.

The project is discussed and planned, but the internal team is too busy fighting fires and keeping the existing environment running.

So what happens?

The project gets pushed to next month. Then next quarter.

Your ERP team may be doing a good job operationally, but they don’t have enough bandwidth to focus on the projects that can bring more value to the business.

Why It Matters – Small Delays Can Become Larger Business Risks

One delayed ticket or postponed patch may not look like a major problem. The concern starts when these issues become a pattern.

A growing ticket backlog can affect users. Delayed patches can increase security exposure. Projects that continue to move from one quarter to another can slow down improvements the business is expecting.

This is why it is important to identify capacity issues early rather than waiting until they become larger operational or business problems.

Reduce the Pressure – Bring in Additional ERP Support

When the internal team is stretched, the first thought may be, “We need to hire more people.”

Maybe. But hiring additional full-time resources is not the only answer.

Depending on the requirement, organizations can use staff augmentation, managed services, or specialized ERP resources to provide additional support.

For example, an external ERP team can take care of some day-to-day support, monitoring, patching, database activities, or technical issues. This can reduce some of the pressure on the internal team without necessarily increasing permanent headcount.

Give Your Team Capacity to Focus on Strategic Initiatives

The objective of bringing in external support should not be to replace your internal ERP team.

Your internal team already understands your business, processes, users, and priorities. The idea is to give them additional capacity so they don’t have to spend all their time managing operational issues.

With the right support in place, they can spend more time on upgrades, automation, integrations, cloud initiatives, reporting improvements, and other projects that can move the business forward.

Look Out for Warning Signs and Identify Capacity Gaps Early

If security patches are regularly postponed, support tickets are taking longer, and strategic ERP projects keep getting delayed, it may be worth taking a closer look at your current ERP support model.

At SureStep ERP Services, we support organizations running Oracle and SAP environments through Managed Services, Staff Augmentation, ERP projects, and specialized technical and functional support.

We also offer a complimentary one-hour ERP Diagnostic, where we can discuss your current environment, understand where your team may be stretched, and identify possible capacity gaps or areas for improvement.

Sometimes you don’t need to change your ERP system.

You may simply need to give your ERP team the right support.
